Error: "This shared company is already open"

Summary

Error: "This shared company is already open" when opening a file that was uploaded to Remote Data Access (RDA).

Resolution

Option 1: Check for RDA outages

  1. Go to status.sage.com.
  2. If there’s a service outage on the site, wait for the outage to be resolved and re-open your data.

Option 2: Close Active processes

  1. Close all open Sage 50 companies.
  2. On the computer where you get the error, open the Sage 50 Connection Manager. See Sage 50 Canadian Edition Connection Manager
  3. Confirm that both Total connections and Active companies say 0. If they don’t say zero, close any other company files you may have open or wait for the files to finish closing.
  4. Click Stop service. If prompted, click Yes.
  5. Click Start service. If prompted, click Yes.
  6. Open the Task Manager on the computer that stores the data.
    • You can do so by holding the Ctrl + Alt + Del keys and then choosing Start Task Manager
  7. Click the Processes tab.
  8. If there’s a button or a checkbox that states Show processes from all users, enable it.
  9. Find any file related to mysqld.exe and click End Process.
  10. Open the SAJ company file folder.
  11. Delete the process.pid file.
  12. If the problem persists, reboot the computer where the data is located.

Option 3: If the file won’t open on any computer

  1. Restore a recent backup. The restored backup won’t be shared anymore.
  2. Verify if you have to re-enter any missing recent journal entries in this restored backup.
  3. If you don’t have a recent backup to restore, follow How to access an offline copy of a shared file with RDA to save a non-shared copy of your company file.
  4. You’ll be able to open this non-shared copy without the error. Make sure the transactions are up to date in this copy.
  5. If you need to share the file again, follow these steps:
  • Go to Setup, Settings, Company, Information
  • Change the company name in the Name box by adding some characters in front of the company name, then click OK
  • Go to File, Remote Data Access, Share Company
  • Click the Share button, then Get Started
  •  Click Yes, I’m the right person
  • In the next screen, the new name will appear in the Company Name box. This is the name that will now appear in the list of shared companies
  • Log in with the sysadmin Sage account email address
  • Click Finish
  • Go back to Setup, Settings, Company, Information and change back the company name to what it was
  • After the company is shared again, the other users will have to download the newly shared file on their computer

     4. If you get the error "A company file with the same ID is currently being shared" when sharing, call tech support at 1 888 522 2722.

Option 4: If the file opens on one machine, but can't be opened on a second

  1. Remote Data Access requires that a second Sage account email address is used to open a company file on a second machine.
  2. If you try to use the same Sage account email address to one on two machines, the second machine will give this error message.
  3. When opening the company file, log in using a second Sage account email address and it will open without error.
  4. If a second Sage account email address isn't set up, see Remote Data Access - Setup users.
  5. If the file still doesn’t open, copy the SAI and SAJ of the company that does open and transfer it to the computer that can't open
  6. If the sysadmin is able to go into single-user mode, go to File, Remote Data Access, Pause Sharing.
  7. Resume Sharing and try redownloading the file on the remote computer.

Option 5: There’s already a unique username and Sage account email address for each computer

  1. Log in to the file with the username and Sage account email address on another computer
    • Switch the Sage account email address on the second computer by going to Connect to a Shared Company on the Welcome screen
    • Click Login as a different user

  2. If you’re able to get in to the file using the problem user name and ID, go to Setup, Settings, Company, Backup.
  3. If you aren’t able to get in the file, log in on the machine that can log in as the file owner and sysadmin.
  4. Go to File, Remote Data Access, Pause Sharing.
  5. After the file is paused, go to File, Remote Data Access, and Resume sharing
  6. Try to log in from the machine that had the error
  7. If you’re still not able to get in the file, try:
    • logging into the file in 1 hour
    • Re-downloading the file to a new folder on the C:\\
